Palm Oil Declaration Walkthrough



This video will provide an overview of creating and completing your Palm sourcing survey documents for submission.  


What information is required for the Palm Oil Survey?




You will only need to declare retailer own label products that contain palm materials which you sold to your customers in the 2024 calendar year.  to ASDA, Amazon EU, Booker, Co-op, Holland & Barret, Lidl GB, M&S, Morrisons, Ocado, Sainsbury’s, Tesco and Waitrose & Partners. If the relevant product group contains palm oil it should be included, whether or not that palm oil is certified.
The declaration should be for all products sold 1 Jan 2024 – 31 Dec 2024.

The following information is needed to complete the Palm Declaration Form for 2024. You will need to provide the following information for each of the named retailers you supply.

Manufacturing Site Information

  1. Name of the reporting company and its manufacturing site producing customer own-brand label products that contain palm-based material.
  2. Please note that if you have multiple manufacturing sites producing products for the retailer/customer, you will have to complete a separate declaration form for each of the manufacturing sites. 
  3. RSPO certification status of your manufacturing sites, including the Certification Number of the certification that is relevant to the manufacturing site and the Expiry Date of the certification.  

Products Included Information

Information related to the customer's own-brand label products that contain palm-based material that you supply to the customer.
  1. Customer's name - Select the customer that this product is sold to.

  2. The regional market that the customer sells this product into. Choose this from the drop-down list provided.

  3. Product Reference Code used by the customer for this product. These must include the retail customer product reference number.

  4. RSPO Label and Certification Type for the Product (is the product itself labelled with an RSPO certification label?)

  5. Primary purpose for using palm-based material in this product (select from the drop down list or select 'Other' and record this reason)

  6. Product Category and Sub-Category that this product falls under. Select from the drop-down list the category that is relevant to the customer.

  7. Indication of whether the palm-based material in this product was purchased as a Raw Material or as an Ingredient (Part of Product) for the production of the product supplied to this customer/retailer.

    1. Depending on this answer, you will either need to complete Module A Raw Materials or Module B Ingredients


Module A Raw Material 

Palm product tonnage purchased as a raw material used in the product you supply to the customer. Data must include:
  1. The name of the direct supplier that supplied the palm-based raw material to this manufacturing site.

  2. Name of the original palm product importer. This is the company that first imported the palm-based material into this manufacturing market. This could possibly be the same name as the supplier. If you do not know this information please contact your supplier to get this information

  3. The next step is to input the country and sub-national region of origin of the palm used to produce this raw material. This is the area where the palm was grown and cultivated. If you do not know this information, please write "Unknown".

  4. Total tonnage of palm-based raw material used in this product, by type (e.g. Crude and Refined Palm Oil, Palm Kernel Oil or Palm Kernel Expeller). This should only be the volume that is used specifically in the products supplied to this customer; not the volume used across your entire operation. 

  5. RSPO certification status (e.g. segregated, mass balance) for all palm-based raw materials purchased for use in this product (e.g. segregated, mass balance).


Module B Ingredients

Palm product tonnages purchased within ingredients by your company that are used in the products you supply to the customer. Data must include:

  1. The name of the direct supplier that supplied the ingredient to this manufacturing site.

  2. Name of the original palm product importer. This is the company that first imported the palm-based material into this manufacturing market. This could possibly be the same name as the supplier. If you do not know this information please contact your supplier to get this information

  3. The country and sub-national region of origin of the palm used to produce this ingredient. This is the area where the palm was grown and cultivated. If you do not know this information, please write "Unknown".

  4. Type of palm product embedded in purchased ingredient (e.g. Palm Oil, Palm Kernel Oil).
  1. EITHER the total weight (reported in grams, kilograms, or tonnes) of the ingredient embedded within the finished product supplied in to the customer (Option One).
  2. OR the total weight (reported in grams, kilograms, or tonnes) of the finished product supplied to the customer (Option Two).
  1. Based on the above option, the % of palm-based material within the product must be supplied in one of two ways:
    1. Option One: Input the % palm-based material contained within the ingredient used in this product (e.g. 5% of this ingredient contains crude and refined palm oil)
    2. Option Two: Input the % palm-based material contained within the finished product supplied to the customer (e.g. 1% of the product contains crude and refined palm oil).
  2. If you do not know this figure, a conversion factor that is estimated for the product type will be used.
  1. Percentage of the palm-based material embedded within this ingredient that is RSPO certified.
  2. Type of RSPO certification claimed for the palm oil included in your purchased ingredients (e.g. segregated, mass balance).

The Summary tab will now provide an overview of the palm used in the own-label branded products supplied to each of the customers this manufacturing site supplies.
